We are Blackbird Marketing, a UK-based digital marketing agency specialising in websites, SEO, lead generation and business automation. We are seeking an experienced GoHighLevel (GHL) freelancer for a defined project across our agency account and an existing client sub-account. The objective is to optimise the CRM, complete automations and deliver reliable, tested systems. This is a freelance project, not an employment position.
PROJECT SCOPE
1. GoHighLevel CRM audit and optimisation
- Review the agency configuration and audit one client sub-account.
- Identify broken workflows, configuration issues and missing functionality.
- Improve pipelines, contact management, custom fields, tags and lead assignment.
- Configure dashboards and reporting where needed.
2. Workflow and sales automation
- Build and optimise lead capture workflows, automatic lead assignment and internal notifications.
- Improve email, SMS and WhatsApp automation; set up appointment booking and reminders.
- Configure missed-call follow-ups and lead nurturing.
- Prevent duplicate contacts, opportunities and unnecessary messages; test existing and new workflows.
3. Phone systems and integrations
- Configure or improve phone functionality using LC Phone or Twilio, including inbound routing, IVR, voicemail and missed-call automation where supported.
- Connect website forms and third-party lead sources.
- Improve integrations using Make.com, APIs and webhooks; troubleshoot communication and integration issues.
4. Reusable CRM templates
- Create a reusable GHL snapshot or template for future client implementations.
- Standardise essential pipelines, workflows and settings; document deployment and customisation.
DELIVERABLES
- Audit of the agency and selected client configuration, with prioritised issues and recommendations.
- CRM and workflow improvements within the agreed scope.
- Working lead capture, communication and follow-up automations.
- Phone and integration functionality configured and tested where prerequisites are available.
- One reusable GHL snapshot or implementation template, plus testing results and documentation.
- Identify features requiring additional subscriptions, telephone numbers or external services before implementation.
REQUIRED EXPERIENCE
Practical experience with GoHighLevel agency and client sub-accounts, CRM pipelines, workflow automation, Make.com, Zapier, APIs, webhooks, phone systems, IVR, Twilio/LC Phone, email, SMS and WhatsApp integrations, live CRM troubleshooting, and GHL snapshots and reusable templates. Wix Studio, Microsoft 365, AI agents and third-party CRM integrations are beneficial. Fluent English is important for communication with our UK-based team.
DURATION, QUALITY AND SECURITY
Approximately 50 hours, with a target completion period of four weeks. Scope, hours and milestones will be agreed before work begins. Changes must be tested and documented. Live systems must not be disrupted; client information must remain protected and separated. Significant changes to live accounts require approval. Existing live systems must remain operational, and client data must be protected.
